Job Description
I. TITLE: Director of Operations
II. DEFINITION AND BASIC FUNCTIONS: This is a professional position which supervises and encourages best practices and innovation in Residential Services, Support Services, and the Day Services Programming. The Director of Operations (DOO) assures that these services are provided appropriately to maintain service excellence and compliance with the standards of all applicable regulations. This position shall make significant contributions to the organization, Leadership Team, and the Executive Team.
III. ACCOUNTABILITY: Accountable to the CEO
IV. AUTHORITY: Supervises the Associate Directors/Residential Coordinators in each of the assigned service areas.
V. GENERAL RESPONSIBILITIES:
A. Demonstrates and fosters a respectful positive attitude that promotes service excellence to Individuals and among Team Members, families and / or the general public. (E)
B. Collaborates with the Director of Finance regarding the budget and works with each assigned Associate Director/ Residential Coordinator on a timely basis in order to assure that each area of service remains within the stated budget. (E)
C. Oversees the development of all related programs in Lancaster and Lebanon Counties. (E)
D. Assures compliance with all Provider Qualification Requirements. (E)
E. Visits at least one home per month when Team Members and Individuals are present and attends at least one Team Meeting per month to assure accessibility and awareness of Team Member and Individual issues. (E)
F. Provides Leadership and Education of Team Members in a variety of ways including Orientation Sessions and Leadership Training Modules.
G. Commits to building and maintaining a cohesive Leadership Team. (E)
H. Collaborates with the Leadership Team to transform and maintain an organizational culture consisting of a positive unified Team. (E)
I. Reinforces organizational clarity throughout the organizational Team. (E)
J. Provides leadership and supervision to those Associate Directors/Residential Coordinators assigned: (E)
1. Promotes servant leadership style
2. Models and inspires a work culture consistent with the Mission, Vision, Values and Culture of Friendship Community
3. Develops, implements and evaluates Action Plans associated with reaching the strategic goals of the Organization
4. Evaluates and develops Professional Development Plans as needed with each of the assigned Associate Directors/ Residential Coordinators, Consultants and Specialists on an annual basis
5. Serves on Program Team; provides guidance, support and acts as a resource for Associate Directors and Residential Coordinators
6. Provides mentoring to assigned leaders
K. Provides Leadership and Supervision of Residential and Support Services: (E)
1. Encourages the development of best practices throughout the organization
2. Promotes active brainstorming of ideas, creativity and innovation
3. Reviews and ensures that action is taken on all reports from authorized governmental regulatory agencies
4. Ensures appropriate growth and functioning of all assigned Programs
5. Ensures the supervision, training and development of Team Members, Individuals and families regarding compliance with local, state and federal regulations
6. Ensures coverage for program needs when Associate Directors/Residential Coordinator(s) is (are) on vacation or unavailable
7. Provides facilitative leadership regarding disciplinary issues and in determining appropriate actions for direct care Team Members, Residential Managers, Residential Coordinators and Associate Directors in consultation with Human Resources
8. Collaborates in the admission and discharge process with CEO and Clinical Care Team.
L. Participates on Leadership Team, Program Team, Long Term Planning Committee, Quality Council and other committees as assigned. (E)
M. Collaborates with all departments to promote an Organizational culture conducive to quality services
N. Initiates regular dialog/meetings with the CEO to discuss all areas of responsibility and listen for creative ideas and guidance that may provide a path for appropriate direction and innovative action. (E)
O. Develops succinct reports regarding assigned areas of responsibility. (E)
P. Understands and follows Friendship Community’s Code of Conduct. (E)
Q. Fosters a positive Team Spirit throughout the organization and supports Friendship Community events. (E)
R. Understands and is committed to managing Friendship Community’s ideas, program planning, new initiatives, etc. with the utmost privacy/ confidentiality for the sole purpose of implementation at FC, while in this position, in other roles within FC, and/or employment beyond Friendship Community. (E)
S. Other duties as assigned by the CEO.
VI. WORK SCHEDULE: The Director of Operations will maintain a schedule of primarily day office hours with flexibility to be available for evening hours for emergencies, evening appointments, visits to Programs and events.
VII. EDUCATION AND EXPERIENCE:
A. A Bachelor’s Degree plus eight years of direct experience in the supervision/administration of a human service program/healthcare field OR
B. A Master’s degree in one of the above fields plus one year of direct experience in the supervision/administration of a human service program or healthcare field is desired.
VIII. PERSONAL FACTORS: The Director of Operations must be a mature individual who is capable of providing appropriate leadership and support. They must utilize discretionary skills in dealing with issues. The Director of Operations must make a personal commitment to the values of Friendship Community and actively promote the integration of those values into the operation of the Organization.
IX. SKILLS:
A. Strong verbal and written communication skills. (E)
B. Knowledge of local, state and federal program regulations.
C. Ability to motivate Team Members in providing service with excellence. (E)
D. Ability to be a resource to Supervisory Team Leaders as they relate to their Team Members. (E)
E. Ability to follow through on tasks in a timely manner. (E)
F. Ability to manage and utilize discretionary skills. (E)
